    Departmental Overview

    Bancroft Technical Services (BTS) is responsible for all of the technical operations of the Bancroft Library. BTS functions include: acquisitions, cataloging (original and copy), archival, manuscripts, digital, and pictorial collections processing, and digital initiatives. The Bancroft Library's Acquisitions Unit provides expertise and services to support the selection and acquisition of collections including printed materials, manuscripts, photographs, audio-visual, born digital and other materials in a variety of formats received by purchase, donation, or transfer from within the UCB libraries for custodial-archival retention. The Acquisitions Unit is responsible for pre-order searching, bibliographic verification, ordering, collection funds reporting (fiscal management), drafting deeds of gift and collection purchase agreements, receiving orders and post-receipt processing.

    Responsibilities

    PROCESSING:

    • Coordinate, prepare, track, schedule, and transport purchase and gift materials using internal tracking systems and appropriate documentation.
    • Responsible for bibliographic verification of unique materials in complex bibliographic records in WorldCat, OskiCat, and MELVYL to verify citations for current and non-current material.
    • Carry out analysis of rare printed materials and locate related editions or translations of the work in the library.
    • Accession and prepare archival materials for processing. Enter records in ArchivesSpace for purchase/gift manuscripts with tracking and treatment information.
    • Perform provenance research and record information for cataloging.
    • Submit requests for Bancroft materials through Aeon system for duplicate review, and compare multiple copies of print materials to make informed retention and deaccessioning decisions.

    REPORTING AND DOCUMENTATION:

    • Review and process invoices to initiate payments to vendors. Monitor acquisition expenditures.
    • Assemble collection file from vendor descriptions/gift correspondence.
    • Review collection, donor, and acquisition files to ensure proper documentation is recorded and filed. Enter and update approval log for those items sent for review from vendors.

    MATERIAL TRANSFERS:

    • Schedule and serve as work leader for library and student assistants in preparing, transporting, and/or reviewing materials to/from internal and external partners.
    • Support and track approval items and other material to ensure they are properly routed.
    • Review incoming materials being sent on approval for purchase or as gifts, including rare and antiquarian materials, etc.
    • Ensure that declined approval items are safely and securely packaged, insured, and/or handled for transport or return shipping.
    • Keep appropriate documentation and follow established guidelines.
    • Coordinate intake of large collections via library van or rented truck. Coordinate delivery and shelving with Accessioning and Intake unit.
    • Provide for shelving of incoming collections and ensure proper labelling and numbering of containers follow library container labelling guidelines.

    OTHER DUTIES

    • Train and supervise student assistants in material handling, routing procedures, processing, and documentation practices, including data entry, report generation, and record updating according to established guidelines.
    • Make routine work assignments and monitor progress and quality of library and student assistant work.
    • Consult with the supervisor, curators, and others as needed. Record necessary statistics and provide regular reports.
    • Oversee and manage routine workflow issues. Investigate and resolve problems. Refer more complex problems to supervisor.
    • Other duties as assigned.

    Required Qualifications

    • Ability to perform work independently and exercise judgment in solving problems.
    • Basic knowledge of preservation selection principles.
    • Basic knowledge of collection development principles and processes.
    • Experience with library bibliographic functions, stack maintenance, and bibliographic tools and record structures.
    • Experience in order processing, acquisitions reporting and documentation.
    • Experience in special collections or processing of rare materials.

    Preferred Qualifications

    • Education and training in library information and resources is desired.
    • Experience in an acquisitions unit of a special collections library.

    Salary & Benefits

    The hourly salary range of the position is $21.24 - $23.09, commensurate with experience.
